Platform Terms

The terms that apply to platforms, portals, dashboards and hosted environments delivered by CAQA Systems.

These Platform Terms apply to users, administrators and organisations that access CAQA Systems software, portals, dashboards, online systems or hosted environments. Users must keep account details secure, use the platform lawfully, protect confidential information, avoid unauthorised access and comply with any administrator, subscription or acceptable-use requirements.

CAQA Systems is the education-technology division of CAQA Groups and a Career Calling International Pty Ltd (ABN 53 162 651 238) initiative. Our audience is education providers, registered training organisations, higher education institutions, businesses and government bodies. Through this website we describe, and through separate written agreements we deliver, technology platforms and services including compliance automation, student and trainer dashboards, ePortfolio and evidence collection, real-time data analytics, digital forms and workflow engines, custom software development, system integrations and APIs, cloud hosting and DevOps, and AI assistants and automation.

User accounts

Where a platform requires an account, you must provide accurate registration information and keep it current. Accounts are issued to named individuals and must not be shared. You are responsible for keeping usernames, passwords and multi-factor credentials confidential, and for all activity that occurs under your account. Tell us promptly if you believe an account has been compromised, so access can be reset or suspended.

Administrator responsibilities

Client administrators are responsible for deciding who in their organisation receives access, assigning appropriate permission levels, removing access when staff change roles or leave, approving configuration decisions, and ensuring the data their organisation enters into a platform is accurate and lawfully collected. Instructions given to us by a client administrator are treated as authorised instructions of the client organisation.

Availability and uptime targets

We engineer hosted environments for reliable operation, with deployment pipelines, monitoring and backups. Specific uptime targets, where offered, are set out in the written agreement or service schedule that applies to your subscription; where no target is stated, we will use reasonable efforts to keep services available and to restore them promptly after interruption. Planned maintenance is scheduled outside ordinary business hours where practicable, and availability targets exclude planned maintenance windows, faults in client environments and events outside our reasonable control.

Changes to features

Platforms evolve. We may add, improve, modify or retire features to maintain security, performance, compatibility and usefulness. Where a change would materially reduce the core functionality your organisation relies on, we will give reasonable advance notice through the platform, by email or through your account contact, and will identify a workaround or replacement capability where one exists.

Third-party integrations

Many deployments connect to third-party systems such as learning management systems, student management systems, finance software and government reporting endpoints. Integrations depend on the continued availability, terms and technical behaviour of those third parties. We are not responsible for outages, data errors or changes originating in third-party systems, although we will work with you in good faith to restore affected connections.

Data collected through this website and our platforms

Through this website we collect only the information you choose to submit, such as your name, organisation, contact details, demonstration requests and newsletter subscriptions. Data held inside a client platform is governed by the client agreement, our Privacy Policy and our Data Processing and Security Notice.

Fees and payments

No payments are taken through this website. There is no online checkout, cart or payment facility on any page. Platform subscriptions and project work are established under written agreements and invoiced directly; billing, renewal and cancellation arrangements are described in our Subscription Terms.

Limits of liability and advice

Content on this website is general information about our platforms and services and is not legal, regulatory, financial or compliance advice. Platforms support your compliance and administrative work, but responsibility for regulatory decisions, submissions and obligations remains with your organisation. To the extent permitted by law, our liability for loss arising from use of a platform is limited as set out in the applicable written agreement, and we exclude liability for indirect or consequential loss. Nothing in these terms excludes rights or guarantees that cannot be excluded under the Australian Consumer Law.
