Subscription Terms

How subscriptions to CAQA Systems platforms are established, billed, renewed, suspended and cancelled.

These Subscription Terms explain how subscriptions to CAQA Systems platforms and hosted services are established, billed, renewed, suspended and cancelled. CAQA Systems is the education-technology division of CAQA Groups and a Career Calling International Pty Ltd (ABN 53 162 651 238) initiative, serving education providers, registered training organisations, higher education institutions, businesses and government bodies.

How subscriptions are established

No payments are taken through this website. There is no online checkout, cart or self-service purchase facility on any page: this website is for information, enquiries and demonstration bookings only. Subscriptions are established through a written agreement, proposal or order form signed by the client organisation, which records the platforms and modules included, user or usage limits, the subscription term, fees and any agreed service levels. If anything on this page is inconsistent with a signed agreement, the agreement prevails.

Billing and invoicing

Subscription fees are invoiced directly to the client organisation at the intervals stated in the agreement, commonly monthly or annually in advance. Invoices are payable within the payment terms stated on the invoice or in the agreement. Fees are expressed in Australian dollars and, unless stated otherwise, exclusive of GST, which is added where applicable. Implementation, integration, data migration and custom development work is quoted and invoiced separately from subscription fees.

Renewal

Unless the agreement says otherwise, subscriptions continue for the initial term and then renew for successive periods of the same length unless either party gives written notice of non-renewal within the notice period stated in the agreement. We will give reasonable advance notice of any fee change, and fee changes take effect from the next renewal rather than mid-term unless the agreement expressly allows otherwise.

Cancellation

Clients may cancel by giving written notice in accordance with their agreement. Cancellation takes effect at the end of the notice period or current billing period, as the agreement provides. Because subscription services are delivered continuously, fees for periods already invoiced and delivered are generally not refunded; where a subscription is cancelled because we have failed to remedy a material breach, or where a refund is required under the Australian Consumer Law, we will refund the affected amounts. Nothing in these terms excludes, restricts or modifies any consumer guarantee or right that cannot lawfully be excluded.

Suspension

We may suspend access to a subscribed platform where invoices remain unpaid after reminder, where continued access poses a genuine security or legal risk, or where use materially breaches our Acceptable Use Policy. We restore access promptly once the issue is resolved. Suspension does not, by itself, end the subscription or the obligation to pay for the remainder of the term.

Support entitlements

Every active subscription includes standard support during business hours as described in our Support and Service Levels page, together with maintenance, security patching and platform updates. Enhanced support levels, training packages and dedicated environments are available where included in the agreement.

Your data at the end of a subscription

When a subscription ends, we make client data available for export or return and then delete it in accordance with the agreement and our Data Processing and Security Notice. We recommend clients complete data export before the end date; assisted extraction after that date may be chargeable.

Limits of advice
